CRM activity management means configuring, classifying and reviewing activity records so teams use the CRM consistently. A useful setup makes relevant activity types easy to enter, keeps views manageable and aligns controls with workflow.

Give each entry a job

Define a small, consistent set of activity categories and fields that fit the team's workflow. Make common options easy to find, and review whether categories stay useful as processes change.

Write for the next colleague

Use agreed labels and field conventions so activity data can be filtered and reviewed consistently across the team.

Copying entire private conversations may collect more personal information than needed. Australian organisations covered by the Privacy Act should consider the Australian Privacy Principles when deciding what personal information to collect. Restrict access and retention under organisational policy.

Choose how activities enter the CRM

In HubSpot, some activities are recorded automatically, while others can be created or logged manually. Activity types include calls, emails, meetings, notes, tasks, LinkedIn, WhatsApp or SMS messages, and postal mail.

Activity creation icons may vary if their order has been customised. The WhatsApp option appears only when the account is connected to WhatsApp and the contact has a value for the WhatsApp number property.

If bringing activity history into a CRM, check whether it supports bulk import and association with records. HubSpot does. After an import, verify the expected activity types appear against the intended records; do not assume imported data will display as intended.

Check activity controls and plan limits

Before standardising activity types or fields, confirm which controls the CRM plan provides. HubSpot documentation says the number of activities that can be logged depends on the record object, activity type and subscription. A workflow that works for one record type or subscription may not behave the same across an entire account.

Some customisation depends on subscription. In HubSpot, custom call or meeting types and outcomes require a Sales Hub or Service Hub Professional or Enterprise subscription. Inserting Knowledge Base articles into a logged activity requires Service Hub Professional or Enterprise. Treat these as product-specific limits to test against the team's workflow, not universal CRM features.

Channel support also depends on setup. HubSpot offers a WhatsApp message option only when the account is connected to WhatsApp and the contact has a value for the WhatsApp number property. Check such prerequisites during configuration so users can tell whether a missing activity option reflects an access, integration or record-data issue.

Review the hand-off, not just the count

Sample active customer records. Check whether activity types and key fields are used consistently, entries are associated with the intended records, and redundant automation is creating noise. Activity volume alone says little about CRM data quality.

CRM products differ in activity types, task controls, visibility and plan limits. Trial the workflow with a real hand-off scenario before standardising fields across a team.

Make activity views usable

A record timeline suits an individual customer view, but teams may also need an activity index to review many entries together. In HubSpot, activity index pages let users filter activities and make bulk edits or deletions. Administrators can correct or remove entries across a group rather than opening each record separately.

Filters can narrow a review to a particular activity type or other criteria. HubSpot provides property quick filters and advanced filters, and supports view tabs, including custom view tabs. Use these controls to make routine checks manageable; a review need not display every activity type at once.

Access can differ between viewing a record and reviewing communications in bulk. In HubSpot, Super Admin permissions are required to view communications such as LinkedIn, SMS and WhatsApp messages on activity index pages. Before relying on those views, confirm the people responsible for activity reviews have the access they need.

Check where older activity remains visible, not only how it is filtered. In HubSpot, free-tools accounts created on or after 4 February 2025 show most activities from only the last 30 days on timelines and activity cards; notes, tasks, pinned activities and activities opened through direct links are exceptions. Activity index pages can show older activities, while Starter, Professional and Enterprise accounts can view older activities on timelines and cards.
