CRM mobile use
Plan mobile CRM work around customer visits, offline updates, device data and usable hand-offs.
A mobile CRM earns its keep when field staff can find the right customer, understand the current commitment, record a change and leave a usable next action on the device they carry. Define which tasks must work without coverage before choosing an app or changing its screens.
Define the mobile job
Follow a representative visit from preparation to hand-off. For each step, decide what staff need to read, what they must change and what can wait until they are online. Keep the mobile view focused on those decisions.

If two accounts look similar, leave the match for review rather than attaching an update to the wrong customer. Keep a completed visit distinct from the future action it creates.
Decide what offline work means
Offline support differs by product, device and configuration. Check the app's current documentation and confirm whether the records and actions needed for a visit are available offline.
Before a low-coverage visit, confirm that the intended record is available through the organisation's approved process. After reconnecting, check that the change reached the online CRM and that a failed or conflicting update has an owner. A local save does not complete a hand-off.

Limit what travels with the phone
Offline work can leave customer information on a device. Decide which records and fields staff need, and review attachments, exports, copied text and notification previews as possible additional copies. Set a route for reporting a lost device and ending access when a user leaves.
For organisations covered by the Australian Privacy Principles, APP 11 requires reasonable steps in the circumstances to protect personal information they hold. Apply the organisation's security rules to the particular app and device.
The OAIC says an organisation holds personal information when it has possession or control of a record containing it. For mobile use, consider both information physically stored on a handset and records the organisation can control. Physical possession of the device is not the only test.
APP 11 also requires active consideration of whether personal information may still be retained. When it is no longer needed for a permitted purpose, reasonable steps must be taken to destroy or de-identify it, unless it is part of a Commonwealth record or retention is required by Australian law or a court or tribunal order. Technical and organisational measures both count as reasonable steps.
Check the working routine
Use familiar visit tasks and ordinary user permissions to see whether staff can find the intended record, enter a truthful update, recover from a connection change and leave a next action that a colleague can use. Review the resulting online record as well as the phone screen.
